The Building System Item (BSI) Asset Record

  • In Tririga, Building System Items (BSIs), are the inventoried asset records associated to a building or infrastructure system.  They contain the information that is collected during the FCA process or modified by the program/asset managers over time
  • The Building System Item Record
  • ID:  
    • Each BSI is automatically assigned a unique ID number by Tririga.  This will be the ID that users can search on to find the record across Tririga
  • Name:  
    • Each BSI has a name that is initially populated based on the asset catalog assignment that is selected.  The name is typically modified to also include specific details about the asset (wood vs steel, or capacity 2500 MBH, and reference location (room 235)
  • Status:
    • Each BSI record has a status field which indicates if the record is in, Active, Revision in Progress or Retired status
      • All BSIs should be in Active status unless a modification to the record is being made temporarily
  • Description:
    • This field is used to capture additional details about the asset (not its DM condition), for example manufacturer or model/serial number or any other information that is pertinent to downstream users
  • Location:
    • The location section of the record identified the building or structure name the BSI is inventoried in
  • Building System Class Section:
    • This area of the record shows the asset’s information that is sourced from the UC Asset Catalog
      • Building System Classification ID and Name  this is the catalog reference the BSI is based on
      • BSI Inventory Requirement  Indicates for this given asset type whether or not the inventory is required (“Yes”) or if the record is being created to capture a deficiency (“No”)
      • BSI Inventory Quantity As:  Indicates how/which Unit of Measure the asset should be inventoried in
      • Service Class:  Indicates which discipline is responsible for the asset type and would be assigned the asset during an FCA
        • Values include: Architectural, Electrical, Mechanical, Infrastructure
  • Geography Index Section
    • Each BSI record inherits the Geography index from the building or structure to which it is assigned
    • The Geography Cost Index is based on the building or structure’s zip code/location. The index is applied to all opportunity costs as they are being developed which allows the base cost in the catalog to be adjusted for the building’s location
  • UC BSI Details Section
    • Quantity:  Indicates the quantity of the asset and its corresponding Unit of Measure
    • Last Inspected By:  Provides the name of the FCA inspector who assessed the asset last
    • Last Inspection Date:  indicates the date of the last FCA inspection
    • Replacement Cost per UoM:  This is the base replacement cost of the asset (by each Unit of Measure) from the UC asset catalog
    • RSMeans Unit of Measure:  This is the standard Unit of Measure the asset is measured and inventoried in  this is from the UC Asset Catalog
    • Replacement Cost:  This cost takes the quantity of the asset x the replacement cost per unit of measure x the geography index to get a rough replacement cost of the asset.  This is not the final DM cost of an opportunity  just a guide
    • System Group Comment:  This is a free-form text field that assessors and program managers can use to associate multiple BSIs and group them.  This can be helpful if BSIs should be considered as part of a project or system that should be managed as a group
  • BSI Ratings Section
    • Each BSI is initially assigned specific risk ratings by the FCA assessor based on information they collected or observed about the asset
    • Each rating has multiple values the assessor can select from, and based on the value chosen, will provide a corresponding score
    • All the rating scores are added up to get a total BSI rating
    • The total BSI rating is then added to an Opportunity if one is created to get a total Opportunity Risk Rating Score
    • Opportunity Risk Rating Scores correspond to Risk Colors (Red, Yellow, Green) that reflect ranges of total scores
    • These risk rating scores, and colors can help DM management and capital teams prioritize which assets and opportunities should be addressed sooner than later

  • The below table shows the ratings, values and scores that are available for the user to select

Note: Each BSI also has a BSI Condition code that is not part of the risk ratings above. This condition code is used to reflect the overall condition of the asset, which is especially useful when dealing with assets that have units of measure that are not each and where there is an opportunity that has reflects a portion of the whole that is deficient

  • A good example is for carpet. The overall quantity of carpet, 100,000 sqft is in Good Condition, but a small area of the carpet, 5,000 sqft is in failing condition due to a roof leak
  • Impact to Mission
    • indicates that if the asset were to fail, how would it impact the mission of the facility or location it is serving, and ranges from None to Mission Shutdown
  • Risk to Mission
    • indicates that if an asset were to fail, which mission type would be impacted. Mission-types include, Education, Research, Patient Care.
  • Rigor of Use
    • Indicates if an asset is always in service, on standby or not in service (which also can be used to reflect abandoned in place)
  • Condition Code (at the BSI)
    • Indicates the overall condition of the asset, which ranges from excellent to fail
  • UC Asset Details Section
    • Campus Asset ID
      • If a campus would like to associate the Tririga BSI record with a local CMMS asset record, they can insert the local CMMS Asset Record ID in this field
    • Campus Asset Name
      • Along with ID, the campus can also include the local CMMS Asset name in this field
    • Campus Nameplate
      • This is the nameplate label that is affixed to the assets
      • Typically captured during the FCA
    • Reference Location
      • This field provides location information specific to the asset  for example which room the asset is located in, which area of a utility room the asset can be found, or where on campus the asset may reside.  It is used to help find the asset into the future
  • System Life Section
    • In Service Date
      • This is the date the asset was placed into service
      • This is initially captured during the FCA
      • This field should be modified and kept up to date when asset is repaired or replaced
    • Life Expectancy
      • This refers to the average expected life of the asset and is populated based on the UC asset catalog
    • Calculated End of Useful Life
      • Calculates what year the asset would be expected to reach its end of life  based on the in-service date, life expectancy and today’s date
    • RS Means Remaining Life
      • Calculates the years of life the asset has remaining
  • Opportunities Sub-Tab
    • This sub-tab displays any opportunities that have been created for and are associated to the BSI

  • Specifications Sub-Tab
    • Where there can be multiple types of a given asset due to their varying types or capacities, “Specs” have been added to each Building System Classification at level 5 to make asset grouping and reporting rollups easier and are automatically associated to BSI when it is created
      • Example:  There are multiple elevator types in the system based on capacity and types, however they all share the same generic spec:  Elevators and Lifts

  • This tab contains all of the pictures of the asset the assessor captured and where new pictures can be added when needed
  • Other documents, such as space or architectural diagrams, may also be stored on this tab
