Entering and Tracking Time on an FCA Work Task (All FCA Team Members)

The following article instructs Facilities Condition Assessment (FCA) personnel on how to enter and track time on an FCA Work Task.

 

1. Open the FCA Work Task

A. Click Portfolio on the main menu.

B. Go to the Facility Condition Assessment section and click the Facility Assessment Work Task link.

C. Search for the Work Task record in the Facility Assessment Work Task search list.

The name of the FCA Work Task defaults to the campus, assessment year, building name and the (discipline), for example:  UC Davis - 2018 - Hertz Hall (Architectural).

You may search for the record via the following search fields:

  • ID
  • Service Class
  • Task Name
  • Task Type
  • Status
  • Primary Work Location
  • Modified By

D. Click the link of the Work Task.

Click the Resources tab of the Work Task tool bar.

2. Entering Time on an FCA Work Task

Go to the Resources section. Check the check box next to inspector's name and then click the Time Entry button.

B. Go to the Time Entry Details section of the Time Entry pop-up dialog box.

  1. Enter the date of the day the work took place in the Date field.
  2. Enter the hours worked on that day in the Hours field.

C. Go to the Time Category section and click the Find button.

D. Click the radio button of the category of this time entry and click the OK button.

Inspectors may choose from the following categories of time entry:

  • Planning:  Indicates time was spent on pre-inspection planning activities
  • Inspection:  Indicates time was spent performing the actual inspection and assessment at a given facility
  • Closeout:  Indicates time was spent reviewing assessment data, ensuring data is complete and accurate and meets program manager and team’s expectations prior to closing the FCA Work Task and FCA Project

E. Click the Create button at the top of the Time Entry pop-up dialog box.

F. Click the Save & Close button.

3. Updating the Time Entry

A. You may update the the entered Time Entry by completing the following:

Go to the Time Log section of the Resources tab and click on the record icon next to the time record you wish to update.

B. Go to the Time Entry Details section of the Time Entry record to change the date of the time worked, or the hours of the work

C. Go to the Comments field under the General section to add or adjust the comment.

D. Go to the Time Category section of the Time Entry form and click the Find button to change the Time Entry Category.

E. Click the radio button for a new or updated Time Category and click the OK button.
